Selecting the right ERP solution is critical for meeting your future business needs. Unfortunately, Business Central is sometimes unfairly overlooked due to misconceptions that it lacks the advanced capabilities of its Microsoft counterpart.

In the article below, Emma Wright, Director of Product Management at Seer 365, dispels the top five myths surrounding Business Central. So, whether you’re an organisation weighing up your future ERP solution options, or you work for a Microsoft partner implementing either of Microsoft’s ERP offerings, we would encourage you to read on.

Over the years, I have worked with several partners that sell and implement both Microsoft’s Business Central and Finance and Supply Chain Management (F&SCM) ERP solutions. As a Business Central specialist, I have often found myself defending its capabilities when it is compared against its Microsoft brother.

Many professionals with a F&SCM background tend to underestimate Business Central. In this article, I will address some of the most common misconceptions and myths about the solution that I have encountered over my 20+ years in the industry.

Business Central Myths:

1. It’s not scalable.

What does scalability really mean? The volume of data a system can handle, its transactional processing capacity or number of users? Let me address the first two of those three measures. Number of users is addressed in Myth 2.

When it comes to data volume and transaction processing, how does Business Central handle them? Dynamics 365 Business Central now features advanced auto-scaling and load balancing – something that wasn’t possible five years ago. While concerns about scalability may have been valid in the past, these are no longer a concern today. Auto-scaling and load balancing distribute workloads across multiple virtual machines, adding capacity as needed. Microsoft has provided real-world, anonymous examples of customers processing large volumes of transactions using Business Central, including 4,000 sales orders per hour with a total of approximately 150,000 sales lines-handled seamlessly. This is not a maximum, the system can handle even more. Regarding data, some customers have databases reaching as much as 1TB, though most are typically around or under the 100GB mark. The largest databases often belong to customers migrating from an on-premises version of Dynamics NAV or Dynamics BC.

2. We have hundreds of users. We need Dynamics 365 Finance and Supply Chain Management

There is often an assumption that Business Central is only suitable for small to mid-sized businesses and that a high user count requires Dynamics 365 F&SCM. However, Business Central’s auto-scaling and load balancing ensure it can handle large user volumes with ease. Microsoft reports that several Business Central customers have over 1,000 users, with thousands of companies operating with well over 100 users. While most customers still have around 20 users or fewer, there is a shift to larger numbers as confidence in Business Central’s scalability continues to grow.

4. Business Central does not support multiple companies

You might be surprised to hear this myth, but I have encountered it. Historically, NAV and BC have always allowed unlimited companies. However, in 2023 Microsoft did introduce a limit of 300 companies per environment for Dynamics 365 Business Central Online. This does not mean an absolute cap – if you exceed 300, you simply need to distribute companies across multiple environments.

5. We are a manufacturing business. We need Finance and Supply Chain Management

The right choice of Microsoft ERP solution depends on the type of manufacturing that you do, and whether you are open to using add-on solutions, known as ISV (Independent Software Vendor) solutions, to fill the gaps in Business Central’s core functionality. There are over 800 ISV solutions available for Business Central via Microsoft AppSource, specifically for meeting the needs of manufacturers.

Having worked extensively with NAV/BC in manufacturing, particularly in the fresh produce sector, I know first-hand that excellent ISV solutions exist that greatly enhance Business Central’s core manufacturing capabilities. Alongside this Microsoft are currently focussing on improving the standard Manufacturing functionality in Business Central.

Dynamics 365 F&SCM, provides more advanced, inbuilt manufacturing functionality, which is particularly useful for process manufacturers, for example. Specifically, this would be a challenge for out-of-the-box Business Central, however using an ISV solution, it can support batch production functionality. Ultimately, business size and budget will likely be the deciding factor as to whether a manufacturer goes down the Business Central or Finance and Supply Chain Management route.

Choosing the right solution is rarely an unbiased decision – most people will have their ‘favourite’ for a variety of reasons – some not necessarily the right ones. Whether you work for a company considering a new ERP solution or for a Dynamics 365 implementation partner or, like me, you have a deep-rooted affinity for one of the Microsoft solutions (for me, that’s Business Central), it’s important to set personal preferences aside when evaluating options.

3. We operate globally. We need Dynamics 365 Finance and Supply Chain Management

Business Central offers multiple localisations as does F&SCM, both products have Microsoft led and Partner led localisations. The Partner led localisations make a direct comparison of the total coverage of supported countries tricky. As of May 2025, Microsoft list 24 Microsoft led localisations, and 151 Partner led localisations for Business Central, totalling support in 175 countries. For F&SCM Microsoft list 54 Microsoft led supported countries, no specific list of Partner led localisations, and an explanation that the Globalisation studio means that it is possible to operate F&SCM in over 200 countries and regions. If we take these numbers we end up with Business Central at 175, and F&SCM at approximately 200 countries that are supported.

The need for F&SCM as opposed to Business Central really depends on the specific countries to be included and the functionality required.

For global operations, key functionality typically required includes intercompany trading, consolidation, and elimination processes. While Business Central does offer these features, F&SCM provides a much more automated experience. For example, eliminating intercompany transactions from consolidated accounts is a manual process within Business Central but is more automated in F&SCM.

Several years ago, I developed a simple test to determine if a Microsoft Dynamics GP (formerly Great Plains) customer has outgrown their software.

Simply stated, the more “multis” that a GP customer can check off, the higher the probability that they may need a more sophisticated ERP platform. The list includes:

Multi-Company
Multi-LOB (line of business)
Multi-Location
Multi-Currency
Multi-Country
Multi-Language
Multi-Dimensional Inventory or Financials

In review, the test still stands up well.

If you are torturing your GP software to meet your business needs, it is well worth the time to read or re-read the original article.
While this rule of thumb approach has excellent value, it is not data-driven, and that is why we are introducing a significant update to the process of analyzing the productivity of your GP software implementation.

Considering that failed and challenged ERP implementations and upgrades continue to plague the industry, it is time to ask additional questions before selecting an upgrade path.

Here are three questions I have never heard in over thirty years in the ERP selection and implementation industry:

How effectively are we using our current ERP software?
As a result, do we need to upgrade or use our existing system more efficiently?
If we are not using our current system to its full capability, how do we ensure that our future implementation does not have the same problems?

The most obvious reason these questions don’t get asked is the ERP software implementation partners don’t get paid for not upgrading existing systems or selecting and implementing new ones.

Additionally, there are no tools to assess the productivity level of ERP software implementations. We are left with opinions and speculation without a means to provide reliable data regarding your ERP system.

You’re just not getting paid for it.

If your hardware is old and in need of a refresh, you can rent servers in the cloud, install your GP software on those hosted servers and access it remotely.

If you don’t want any of the headaches associated with maintaining your servers, then there is an excellent option of moving your GP implementation into a hosted environment run by companies that specialize in running traditional or existing GP solutions in the cloud for you.

Any of these solutions can be an acceptable long-term strategy or can buy critical time before making a move to a new ERP system . The new and improved commitment by Microsoft to supporting GP makes this a safe option if GP fits your requirements.

The messaging from Microsoft and the general Microsoft Dynamics GP (GP) partner community is that the optimal upgrade option for GP users is a natural choice: upgrade to Microsoft Dynamics Business Central (BC). Here we discuss how that message misses several vital options that lead to a better solution based on your business requirements and plans.

A COMPLETE STRATEGY

A more realistic GP to BC decision tree looks like the following and contains three significant decisions forks to help will determine the optimal “upgrade route” or strategy:

Is the primary motivation for a GP upgrade is to move your on-premise implementation to the cloud? Assuming that you are happy with the business functionality that you are currently getting, that leaves us with three options:

Locate your existing servers (or upgrade) in a co-hosting environment
Move your GP to hosted servers
Have your GP hosted by a company specializing in hosting your existing GP system

These solutions can buy critical time before making a move to a new ERP system or can be a permanent solution if the proposed Microsoft life span for GP fits your requirements.

DECISION 3 – REQUIREMENTS?

If the determination has is to upgrade to a new ERP platform, then several important questions should be answered.

It is critical to understand that there are no simple upgrades to a new ERP platform in the SMB world. With today’s complex ERP systems, “upgrade” is more of a marketing term than an exact technical definition. Even within product lines themselves, upgrades are now some flavor of re-implementations.

Upgrade toolsets are becoming more powerful and user friendly but come with limitations that may be critical, especially in larger, more sophisticated implementations that require enterprise-level ERP platform capabilities.

There are significant functional and technical reasons why companies outgrow GP. If that is the case, then it is critical not to make an incremental ERP move that does not address all of those technical and functional issues.

The most important takeaway is that all upgrades are complicated and expensive. The real cost of the upgrade is never the cost of the new software, that is just the tip of the iceberg. In making that decision for your company, consider all of your options carefully and do not base that critical business decision on marketing materials promoting the latest shiny toy.

As the ERP landscape has shifted over the years, consultants that started in the same place have followed a different paths in terms of the products, industries, and clientelle. For a couple of Great Plains OGs like us, our individual journeys have led to interesting differences in how we view the current ERP upgrade landscape, especially for today’s Microsoft Dynamics GP users.

One of us (Peter) has spent the better part of two years deeply immersed in the Microsoft Dynamics AX to D365 F&O conversation , with very little visibility into the effort to migrate from Dynamics GP users to Dynamics 365 Business Central (BC). The other (Karen) has had more of a traditional GP partner career, staying the course and now helping companies make the transition to BC.

What we both found fascinating since recently re-connecting were the alternative views we brought to the GP-to-BC discussion, and how our individual Dynamics GP histories shaped our thinking in several critical areas:

What does the future hold for GP customers and the GP partner channel?
What are an organization’s critical ERP requirements for the future?
What are the critical factors that go into the decision making process for a GP customer planning their future?

The discussion regarding GP to BC upgrades came up casually at first. The tone of the conversation changed as we discussed the considerations and options that we do not see in the current migration marketing push.

Here are our key takeaways, distilled from conversations that spanned several hours:

Upgrades from Dynamics GP to BC are not a one size fits all proposition. There are dramatic and nuanced factors that we do not see discussed in the general messaging.
GP customers would be best served if educated on a broader set of options presented to them when considering an upgrade.

The first in our Preventing ERP Failure Series, All Implementations Fail identifies why ERP implementations fail and sets the stage for how Pelorus is reimagining implementations to get value faster with fewer missteps.

I just Googled “how to successfully implement an ERP system." Here are a couple of observations based on that search:

The search returned twenty-nine million results. It’s exhausting looking through all the endless advice.
There is no consensus on the exact number of critical factors or tips. A quick review saw it range from four to twelve.

Then I Googled “ERP implementation failure," and here are my observations from that search:

Five million search results.
The top three results were Ads for "How to implement ERP successfully."

Based on this extensive market research, I had two "Ah-Ha" moments:

Rampant ERP implementation failure must be due to an inability to agree on the correct number of crucial implementation factors or tips!
No Ads offered to help companies fail at their ERP implementations. Odd, since that is a thriving market.

Of course, that is a tongue-in-cheek analysis.

However, if you are contemplating or in the process of implementing a new ERP system, then you must come to grips with the fact that your implementation will fail.

If we reasonably define a successful ERP implementation as meeting the following three criteria:

Time – successfully meet a well scheduled "Go-Live" date.
Budget – minimal or “non-material” cost overruns.
Functionality – deliver the critical business processes and reporting needs of the enterprise.

Based on those three metrics, all ERP systems fail. The only variable is to what degree:

Spectacularly – bringing down companies
Critically – requiring a complete do-over with a new team or new solution
Incrementally – slowly draining resources and enthusiasm while delivering only a portion of promised functionality at a dramatically higher cost

All together now, think of the last ERP implementation that you were personally involved with that was a spectacular success.I’ll wait.
Ironically, our quick internet search delivered a treasure trove of advice on successfully implementing ERP software.

It is time for a new approach and new ideas. In a series of posts, I will look at the standard ERP sales and implementation process areas that contribute to eventual failure. Success for this series of posts would be discussing how to implement fresh ideas and strategies to break the cycle of failed implementations.
